2025 Community Grants in Aid - Accepting Applications

Sun Peaks Mountain Resort Municipality awards annual Grants in Aid to Sun Peaks community not-for-profit groups that require financial assistance to purchase capital items, or to hold a special event. The application period is now open for the 2025 Community Grant in Aid. Applications will be accepted until January 2, 2025 from community based groups. Please review the full grant program guidelines below for eligibility.

Organization

·    Group must be non-profit 
·    Preference will be given to registered societies
·    Group must be based in Sun Peaks with the programs primarily for the benefit of Sun Peaks residents, or special events held in Sun Peaks 
·   Group may only submit in two consecutive years with a one-year break between each two year application cycle (i.e. groups that received grants in 2023 and 2024 will not be eligible again until 2026). 

Program/Activity/Event

·    Grant is available for capital and event projects
·    Must strengthen and enhance the well-being of our community
·    Must promote volunteerism
·    Must not duplicate services that fall within the mandate of a senior level of government
·    Must not be a part of a Provincial or National fund-raising campaign

 Program/Activity/Event Categories

a)  SPECIAL PROJECTS:  For groups staging a special event or activity.  Grant shall not exceed 25% of the established cost. 
b) SPECIAL CAPITAL EXPENDITURE:  For groups to purchase necessary capital items.  Grants shall not exceed 25% of the capital cost.

Applications

There is no set format or application form for the grant.   Council may have the applicants appear in person before a Council meeting to further explain their application and answer questions. 

  • Applications must include ALL of the following elements to be considered complete:
    ·    A written justification of the need for the grant
    ·    The latest financial statement of the organization
    ·    The projected income and expense statements for the group or for the specific project or event on which grant monies would be expended
    ·    A demonstration of the benefit to the community of the project or event
    -   Anticipated number of volunteer hours
    ·    Anticipated participant and spectator numbers at special events

Accountability

Within 3 months of award expenditure, a full accounting of the expenditure relating to the grant must be submitted to the Municipal Finance Department.  Any grant funds unused for the intended purpose must be returned to the Municipality.   Failure of a group to justify expenditures will disqualify any future consideration for a grant from the Municipality.    The Municipality may take additional action  it  deems appropriate  to reclaim  unused  funding  or  to  reclaim  funding that  was  not  used  as  requested  and approved in the grant application.

It should be noted that Council reserves the right to accept or reject any applications which it deems is not appropriate in meeting the best interests of the community.  Not all groups who submit complete applications may receive funding.    Also at its discretion, Council may choose to partially fund a grant request.  Application requests for programs that will have been completed before the grants are awarded will normally not be considered except for extraordinary circumstances and solely at the discretion of Council.

It should also be noted that agreement by Council to help fund an event does not constitute permission by Council to hold that event.  Permission to hold an event must go through the normal required channels which vary depending on the event.
